This website is run by Glint Dental East Herts Limited, trading as Glint Smiles, a private dental practice at 18 Church Street, Bishops Stortford, Hertfordshire, CM23 2LY. We are the data controller for personal information collected through this website. Our ICO registration number is ZC251818.

2. What this policy covers

This policy explains how we use personal information collected through www.glintsmiles.com, including our contact form, emails and calls from website visitors, and cookies. It does not cover your dental records. If you become a patient, we explain how we use your clinical information in our patient privacy information, which we give you at your first appointment.

3. Information we collect

• Contact form: your first name, last name, email address, phone number, the subject of your enquiry, and the message you write.
• Emails and calls: if you email glintdentaleastherts@gmail.com or call us, we keep the details you give us so we can reply.
• Google reviews: our website can display reviews that people have posted on Google. These are published by Google and the reviewers, not collected by us.
• Cookies and similar technologies: see section 9.

Please do not include health or other sensitive details in the contact form or in emails. If you need to discuss your treatment, please call us.

4. How we use your information and why

• To reply to your enquiry and to arrange appointments. Our lawful basis is that it is necessary to take steps you ask for before entering into a contract with you, and our legitimate interest in running our practice.
• To keep records of enquiries, and to meet legal and regulatory duties. Our lawful basis is legal obligation or legitimate interests.
• To show Google reviews through a third party service, only if you accept cookies. Our lawful basis is your consent.

We do not sell your personal information, and we do not use your enquiry details for marketing unless you have agreed to that.

5. Who we share your information with

• Our website host and form processor, Webflow, Inc., which stores form submissions on our behalf.
• Our email provider, which handles messages sent to and from glintdentaleastherts@gmail.com.
• Elfsight, which provides our Google reviews display, if you accept cookies.
• Google, if you follow our links to our Google listing or Google Maps. Google's own privacy policy applies once you leave our site.
• Professional advisers, regulators or law enforcement where the law requires it.

Some of these providers are based outside the UK. Where that happens, we rely on safeguards that the law accepts, such as the UK data bridge or standard contractual clauses.

6. How long we keep your information

We keep enquiry details for 6 months and then delete them, unless you become a patient, in which case your information is handled under our patient privacy information.

7. Your rights

You have the right to ask us for a copy of your personal information, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. Some rights apply only in certain circumstances. To use any of these rights, email glintdentaleastherts@gmail.com.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

8. Keeping your information secure

We take reasonable steps to protect personal information, including using trusted providers and limiting who can see it. No online service is completely secure, so please avoid sending sensitive details through the website.

Our site links to other services such as Google Maps, Instagram and WhatsApp. If you message us on WhatsApp, we will see your name, phone number and message, and WhatsApp's own privacy policy applies to how it handles them. Please do not send sensitive health details by WhatsApp. We are not responsible for how other services use your information, so please read their privacy policies.
